ORGANIZATIONAL CONTEXT

Foundational to the Restore Hope organization is a commitment to the engagement of the local church in Christian mission.  It is our belief that Jesus instituted the church as the primary organism through which his gospel would be proclaimed, and the Kingdom of God would be established on earth.  Our confidence in the local church and her potential are rooted in Matthew 16:18-19 and Matthew 18:18-19 as well as the fuller message of the Biblical text.

Job Responsibilities: Provides office services by implementing administrative systems, procedures and policies, and monitoring administrative projects. Provides primary assistance to the Executive Director (ED) in daily tasks to include office administration, communications, mail distribution, office supply inventory and travel coordinating. Provides secondary administrative support to the Director of Communication and Development (DCD), Chief of Church Engagement and Church Engagement Associate. May also be asked to oversee and maintain organization social media accounts and to organize or assist in event planning and fundraising.

Job Duties:

  1. Board of Directors
    1. As directed by DCD may assist with Board of Directors correspondence and coordination
    2. Help coordinate schedules for meetings
    3. Assist with creating, and maintaining archived files, preparing documents and folders for meetings
    4. Providing hospitality for meetings to include catering, room setup and running Power Point presentations as requested.
  2. Communications/Resources
    1. Editing and formatting as requested of curriculum and other materials being prepared for print production
    2. Assist in assessing and development of database management for all Restore Hope activities, impact, and outcomes
    3. Social Media accounts: Facebook, Instagram and Twitter as directed by DCD
    4. Executive Level Public Relations as directed by ED
  3. Event Planning/Fundraising
    1. Creating online event registration
    2. Securing location and working with location contacts
    3. Event Logistics
    4. Catering needs
    5. Travel and Accommodations to/from event for staff and attendees
    6. Manual production per Facilitator Training event
    7. Recruiting and working with volunteer team
    8. Creating in coordination with DCD marketing and communication plan/strategy
    9. Securing sponsorships
    10. Working with Operations to ensure proper accounting for registration, silent auction, door prizes, etc.
    11. Soliciting silent auction items
    12. Providing volunteers, attendees and vendors opportunities for feedback following the event
    13. Correspondence following event to include thank you letters and tax exemption information to all volunteers, attendees and vendors
    14. Other events to include receptions, dinners, meetings, trade shows, etc.
  4. Mail Distribution
    1. Annual Thanksgiving letters
    2. Christmas catalog
    3. Christmas cards
    4. Fundraising mailouts
    5. Other upon request
  5. Office Administration
    1. ED Calendaring and Scheduling
    2. Answering phone calls
    3. Making copies
    4. Creating files
    5. Booking rooms and coordinating schedules for meetings
    6. Supplies inventory and ordering
    7. Maintaining receipts and purchase orders
    8. Creating weekly staff meeting agenda
    9. Research
  6. Support of Church Engagement Division, specifically the Chief of Church Engagement and Church Engagement Associate to include but not limited to:
    1. Reception
    2. Scheduling
    3. Calendaring
    4. Assist in assessing and development of budgeting, expense receipts, and reports
    5. Assist with logistics related to event planning for Church Engagement purposes
    6. Assist with Domestic and International travel arrangements for Church Engagement staff as requested
    7. Organization of documentation as needed
    8. Other duties as requested
